
This document has been prepared with a view to implementing the internship program smoothly, avoid
misunderstandings among the parties involved and make internship more worthwhile. Roles and responsibility of
Local Coordinators, Interns and Host organizations are outlined as:
Country Coordinator is the member of the Steering Committee (SC) of the Aqua-Internship project in each of the
Asian partners. The roles and responsibilities of CC are to:
Search and select HO to place interns, depending upon the local conditions, he/she may look for new host
organizations continuously to replace old ones
Arrange internship for all the post-graduate students. In case of higher number of students than can be
accommodated, CC selects required number of students for internship in transparent, free and fair manner,
preferably establishing an independent Internship Selection Committee (ISC) that evaluates the proposal of the
interested students
Match the needs and interests of the IS and HO so as to make they are useful for each other
Receive European students for research internship and choose/arrange suitable HO for them
Make logistic arrangements in consultation with HO and IS
Visit the field where interns have been placed at least once during the period of internship arranged for each
student
Report to the Project Coordinator (PO) about the progress quarterly, or whenever requested
Arrange evaluation for the intern’s work and experience gained
Take initiative towards advertising the internship program and also publication of intern’s report in local or
international magazines/journals depending upon the quality of the work
An intern student is a person who carries out assigned work, either day-to-day work or planned research as an
employee for HO without receiving any remuneration with a view to receiving hands-on experience as a part of
university degree requirement. The roles and responsibilities of IS are outlined as:
Interested student should apply outlining his/her interest and aim of joining internship and proposing a potential
host organization
Upon selection, interns are required to work as an employee following all the rules and regulations of the HO
IS shall agree to any changes during the period made in consultation with his CO and the HO
IS shall be responsible in case of loss or damage of properties of HO caused by his/her negligence
Show performance by working hard diligently and independently keeping the needs and interests of the HO in
mind to be as much useful as possible
Work in cooperation with European students during the internship if placed with the same HO or in the same
area,
Cover the costs other than the agreed with HO
Report to the Supervisor at HO and the Country Coordinator (CC) about the progress weekly, or whenever
requested
Any disputes of work or problems encountered at HO should be reported to CC within 3 days and take initiative
to resolve the problem as soon as possible
Submit an internship report of 3-5 pages with sufficient description of work done weekly, background of the
organization and also outlining the experience gained and its usefulness in the future
Provide feedback or constructive suggestions about the HO and internship arrangement so that internship can
be improved
Host organizations are those private or public organizations which accept university students who can be either from
in-country or Abroad for certain period of time. The roles and responsibilities of HO are to:
Receive students to get help for its day-to-day works or to carry out research with a view to solving problems
encountered by the HO
Provide adequate suitable work to interns on day-to-day basis in consultation with CC
Assign a person, preferably who has adequate knowledge and the background of internship work, to serve as
“Intern Supervisor”
Supervise the intern at work on daily basis during the whole period of internship
Make logistic arrangements in consultation with HO and IS, preferably offer a reasonable accommodation to the
intern, if possible
Report to the Country Coordinator (CC) about the progress weekly, or whenever requested
Any disputes of work or problems encountered with IS should be reported to CC within 3 days and take initiative
to resolve it as soon as possible
Provide feedback or constructive suggestions about the HO and internship arrangement so that internship can
be improved
Note: These general guidelines have been prepared in order to facilitate the internship so that internship programs
will run smoothly. However, CC, IS and HO may use their own method and innovative methods depending upon the
local conditions agreeing among each others.
